Overview of Position:

The successful candidate will enter and update advertising orders in our dedicated database and link these to our company editorial listings. Ongoing support for our sales reps will include creation of advertising renewal reports and renewal letters, and book proofing to ensure adverts appear in the correct places. Editorial duties will include updating the editorial company database and sending out update forms. A small part of the job will also be that of office manager: dealing with general administration and support. The job is office-based, with some international travel required.

Key Responsibilities:

Advertising/Listing Management:

  • Entering and updating advertising orders

  • Linking of advertising details to editorial company listings

  • Production of advertising renewals – report creation, template creation, mail merge, packaging and posting of finalised renewal letters.

  • Organisation of locally-printed leaflets.

  • Proofing of adverts in print and digital editions.

  • Report creation for complimentary book allocation to advertisers.

  • Reconciliation of orders against product sales database.

  • Updating corrections/changes to advertiser listings in editorial database.

Editorial Update:

  • Creation and mailing of update forms for editorial database.

  • Updating changes supplied on company questionnaires.

  • Maintenance of contact details on company records.

  • Checking daily reports for changes to advertiser listings.

  • Data entry and update of airline and embassy information in editorial database.

Office Management:

  • Purchasing of stationary/office supplies.

  • Submission of invoices and postage logs.

  • Post In/Out.

  • Health & Safety, First Aid.

You will be expected to:

  • Work closely with colleagues in sales, editorial, production, customer services and accounts.

  • Work under pressure and to exacting deadlines.

  • Take ownership of own work, demonstrate independent thinking.

  • Be a team-player taking on board and implementing new ideas from colleagues (both sales and non-sales) and to contribute your own ideas to the team.

  • Be a respectful and supportive team player.

  • Have a good understanding of Portfolio strategy and embrace necessary changes.

  • Occasional international travel will be required


  • Three years’ experience in a sales support role

  • Highly attentive to detail

  • Resilient, determined and able to work under pressure

  • Good organisational and time management skills

  • Team player

  • Some knowledge of the business aviation industry will be an advantage but is not essential

  • A second language would be an advantage

  • Own transport to/from the office is strongly recommended
